Description

Under general supervision, the Program Coordinator will perform high-level programmatic duties, interfacing with students, leadership, faculty, staff, industry representatives, alumni, and donors to effectively implement initiatives leading to the achievement of department objectives. The incumbent will be responsible for program implementation, managing student outreach and engagement, including coordinating campus visits for prospective students and their parents; managing industry/alumni/student volunteer training and communication; managing student tracking/record keeping; assessing student needs; and analyzing and reporting outcomes. The Program Coordinator will also be responsible for curriculum development, and implementation of all WE@UCLA training related to Equity, Diversity, and Inclusion initiatives in engineering and computer science. This includes but is not limited to creating digestible, intriguing learning environments covering complex subject matter; session facilitation; training of additional facilitators/co-facilitators; the development and procurement of relevant digital assets to conduct and disseminate the training; and the development, deployment and analysis of assessment instruments. The incumbent will serve as the main contact for all UCLA Samueli student organization Leaders collaborating with WE@UCLA on joint events around recruitment, student engagement, and professional development activities. The Program Coordinator will also manage budget preparation, analysis, administration, and final reports for all funding agencies. The incumbent will also be responsible for maintaining and updating the WE@UCLA Webpages and social media accounts, developing WE@UCLA collateral and digital assets (video, print, audio and other media) and will be the WE@UCLA liaison to the UCLA Communications department. Some administrative tasks will also be required. A hybrid work schedule with a combination of in-person and remote work may be agreed upon. Some evenings, weekends, and overnight travel events.

1. Experience and ability in developing and implementing student leadership and engagement activities in a university setting.

2. Experience researching, identifying and validating student activities and programs.

3. Experience with outreach efforts for students from diverse populations and backgrounds with sensitivity to culture, race, ethnicity, gender identity, sexual orientation, and socio-economic status.

4. Experience with program development and management to design, implement and evaluate initiatives serving students from diverse communities.

5. Experience and skills to analyze and evaluate technical and non-technical program requirements, information, or problems in an objective manner, and make logical conclusions.

6. Experience developing innovative solutions to meet program goals, assess outcomes, and use data analysis to make sound recommendations for future initiatives.

7. Experience performing data analysis in online systems including but not limited to SurveyMonkey.

8. Ability to maintain confidentiality of records and information, as well as handle confidential or sensitive matters appropriately and in compliance with UCLA policy, the UCLA Institutional Review Board (IRB), and federal research guidelines.

9. Working knowledge of University systems and security concerns, including, but not limited to Shibboleth; repository for shared documents; document management systems; financial systems; and online content management systems.

10. Demonstrated skill and experience in performing financial analysis, including budget preparation, reconciliation, management and reporting.

11. Working knowledge of UCLA policies and procedures pertaining to Accounts Payable, Travel, Purchasing, and Facilities Management.

Advanced working knowledge of the Microsoft Office Suite (PowerPoint, Word, Excel, Access, Outlook, Publisher, and Project), Zoom and/or other teleconferencing/webinar platforms, Adobe Premiere and Photoshop or other video and still image editing software, website programming/management software, Google Docs, and Social Media Platforms.

14. Strong ability to quickly learn and use new and unfamiliar computer systems, programs and online programs.

17. Excellent skills in oral and written English communication, with demonstrated working knowledge and experience in writing or contributing to the writing of educational research reports, proposals, research briefs, presentations, and/or other related documents.

20. Bachelor's degree in Science, Technology, Engineering, Mathematics, Education, Business or equivalent education and experience.
